Checked against official sources on 1 October 2026. Confirm with the official source before you go.
Build the budget from the actual itinerary and party, not a national daily average. Collect dated quotes in New Zealand dollars, record what each includes and separate money already paid from costs still to come. Keep unknown costs visible instead of entering zero.
Start with a trip you can describe
Write a simple itinerary showing each overnight, travel leg and paid activity you are considering. Add the number of travellers and the accommodation setup you will actually use. A tentative campsite name is not enough: the quote needs to correspond to your dates and booking category.
Make a second version with fewer moves or a shorter stay. Use our South Island road-trip guide for planning context, not as a priced package. Compare complete versions rather than taking the cheapest transport from one plan and the cheapest accommodation from another incompatible plan.
Keep a quote register
For each supplier, retain the source, date checked, party details and inclusions. Mark whether the amount is a live quote, an estimate you supplied or a confirmed payment. Ask about anything that might change the total before describing it as settled.
| Budget line | What to request or record |
|---|---|
| Accommodation | Whole-party total, booking category and any minimum charge |
| Transport | Exact journey, hire period and included allowances |
| Activities | Participants, equipment inclusions and transfer arrangements |
| Food and supplies | A shopping plan matched to the cooking setup |
| Equipment | What you already have, can borrow or need to hire |
| Plan changes | Alternative overnight, transport change and relevant terms |
Use columns for expected total, paid amount and remaining balance. Do not add a deposit to a quote that already includes it. Keep any refundable security amount separate from expected spending, while still considering whether you need funds available for it. Ask the supplier how their particular arrangement works.
Use campsite prices correctly
DOC's campsite categories page warns that individual campsite prices can vary. Use the actual listing and booking total rather than extending a category price across the whole trip. Our DOC campsite guide explains the facility and booking questions behind the quote.
Compare a pass against eligible stays you genuinely expect to use. At the time of checking, the Campsite Pass guidance includes exclusions and possible additional charges. Check the current terms for every planned stay and traveller before calculating value.
In your worksheet, compare eligible nightly charges with the pass purchase plus relevant extras; add excluded nights separately to both options. Do not count speculative future trips as certain savings. No pass price or break-even number is reproduced here because the useful calculation is the one for your actual plan.
Compare compromises openly
Decide which costs support essentials and which buy preferences. Reducing the number of moves, borrowing suitable equipment or replacing a paid outing are options to investigate, not guaranteed savings. Keep essential access, appropriate equipment and confirmed overnight arrangements intact when changing the plan.
For a relocation vehicle, use campervan relocation planning to frame questions about the particular offer. Do not treat a headline hire rate as a complete transport budget. Compare the full journey you would need to make, including arrangements before collection and after return.
Price a workable change of plan before committing the whole budget. Obtain enough information to understand an alternative overnight or cancelled activity day. Choose an allowance you can afford without presenting an arbitrary percentage as a universal rule. Read the supplier's change and cancellation terms; this guide makes no refund promise.
Before you go
- Refresh quotes that are not yet confirmed bookings.
- Resolve unquoted essentials and label any remaining estimate.
- Check that deposits are not counted twice.
- Save the accepted inclusions and change terms.
- Agree which optional items can be removed if costs rise.
This worksheet approach is not a current price survey or a national cost-of-travel claim. Fuel, rentals, groceries, exchange rates and availability have not been priced here. The illustration shows outdoor equipment, not a quoted product or package.
Frequently asked questions
What daily budget should I assume?
This guide does not supply a national daily price. Total your actual quotes, planned purchases and a chosen change-of-plan allowance, then divide only for comparison.
Is a Campsite Pass always cheaper?
Do not assume so. Compare the current pass cost and applicable extras with the eligible stays you actually expect to make.
How should I record an unknown cost?
Mark it unquoted, assign someone to obtain the answer and leave the total labelled incomplete until it is resolved.
